Sync and troubleshooting for iOS and Android, reminders and alarms, calendar syncing, RSS, outlines and lists.
In your account settings, when editing your email address, you can enable daily email reminders. If this option is turned on, your hotlist will be emailed to you once a day at midnight.
You can also get customizable just-in-time reminders for tasks that are due soon. This can be setup in the Account Menu under "Alarms & Reminders". For instructions on how to do this, please read our reminder help topic.
There is also a way to send an email to Toodledo to add a task or retrieve tasks. You can read more about that in our email access documentation.
Yes, you can. On the Alarms page in the Account Menu you can specify an email address, SMS address, or a mobile device that will get reminders for tasks that are due soon.
You can pick which tasks get reminders by clicking the "Alarm" checkbox above the calendar when editing the task's due date. If you have a Subscription or our mobile app you can customize the lead-time for each reminder from 1 minutes to 30 days ahead of time.
Only tasks that have a due-date will trigger a reminder, if the reminder checkbox is checked. If your task doesn't have a due-time, Toodledo will use 12:00 noon as the default time by which it calculates the lead-time for the reminder.
Be sure that you have your timezone set correctly in your account settings, otherwise Toodledo won't know the correct time to send the reminders to you.
SMS. To get these reminders sent to your cellphone via SMS, all you need to do is insert your carrier's "Email to SMS gateway address". This is often in the format of yournumber@carrier.com. You will need to contact your carrier or read this Wikipedia article to determine your SMS address. Please note, that your carrier may charge you to receive SMS reminders. It is your complete responsibility to pay these fees.
iPhone / iPad. To get reminders on your iPhone or iPad, please follow these instructions.
Toodledo can send alarms to your phone via SMS. If you are getting too many, you can go into the alarm settings section on this website and set a daily cap, or you can remove the alarm entirely.
You can also click the unsubscribe link at the bottom of the message to stop future alarms.
If you are getting text messages from "483-68" that appear to be from Toodledo, they are actually coming from Google Calendar. We have no control over these text messages even though they may have the word "Toodledo" inside of them. You may be able to reply with "STOP" in the SMS to block these. If that doesn't work, please contact Google for assistance.
In the "Alarms & Reminders" page you have the option of having webhook alarms.
A webhook is a way for another website or service to get notified when you have a task due. When the task's alarm goes off, the URL you specify will be loaded and given information about the task.
In technical terms, the URL will receive a POST with the following fields set:
The website receiving the message should respond with an http status of 200, otherwise Toodledo will stop sending the webhook messages under the assumption that nobody is listening.
If you want to verify that the message that you received is valid, you can inspect the signature field. This is a sha256 encrypted hash of the task's id concatenated with the secret that you entered on the setup page. If this matches, then the message was authentic.
In the "Alarms & Reminders" page you have the option of having browser based alarms.
When a task is due and the alarm goes off, a popup message will appear on your desktop or in your web browser. For this to work, Toodledo.com must be open in one of the tabs in your web browser, however it does not need to be the active tab.
Most modern web browsers are supported. For Chrome and Firefox, the alarm will appear as an alert popup in the corner of your screen. For Safari, the alarm will appear as an alert popup in the corner of your screen and will also appear in the Notification Center.
Please note that you must set any alarm at least 10 minutes into the future for it to have time to get scheduled and work in your web browser. Also, the first time an alarm goes off, your web browser will ask you for permission to display alarms. You will need to click "accept" to receive them.
Yes. If you use Google Calendar you can easily have all of your Toodledo tasks listed on it.
One option is to add a Toodledo sidebar to your Google Calendar page. To do this, follow the directions on our Google Widgets Page.
You can also use our "Live iCal Link", which will put tasks that have due-dates directly on your calendar. However, keep in mind that Google only refreshes this information once a day, so if you make changes to the due-date on Toodledo, it will take 24 hours for Google to recognize this. There is no known way to speed this up.
To do this, click on the Account menu in the top right corner and select "More" under the Tools section. Then click on the "Calendars" link and enable the "Live iCal Link" section. Now go to Google Calendar, click "Manage Calendars" and then click "Add Calendar". Now click "Add by URL" and type in your "Live iCal Link". Be sure to include the "webcal://" prefix.
Toodledo has a bookmarklet that will allow you to add a task from anywhere. If you are using the "In-Page Bookmarklet", it is possible that some other websites may block it or interfere with how it works. If this happens, please switch to using the "Popup Bookmarklet" which should work better.
If the "Popup Bookmarklet" isn't appearing, its probably because you have some popup blocking software installed on your computer or in your web browser. Please disable this, or give Toodledo an exception to allow our popups to appear.
Toodledo has native iOS and Android apps, and the website also works in any mobile browser. You can also open the Account Menu in the top right corner and select "Mobile Apps".
Yes you can. Open the "Account Menu" in the top right corner and select "More" under the "Tools" heading. Then select the RSS option to enable RSS feeds for your account. You will have the option of getting a feed for all of your tasks, or for only those tasks on your hotlist. You will also be able to select individual RSS feeds for each of your folders.
If you are getting an error when trying to use the Calendar Subscription option, try these two things.
1) Make sure that you have enabled the subscription. To do this, go to the "Calendar" section and put a check in the checkbox for "Enable Calendar Subscriptions" and then click the "save" button.
2) When copying the URL into your calendar, try changing the "http://" prefix to a "webcal://" prefix.
It is possible to import your Toodledo tasks into Apple's Calendar program. To do this, open the Account Menu in the top right corner and select "more" from the Tools section. Then scroll down to the "Calendar" section and follow the directions for "Calendar Syncing".

On the Calendar Subscription page, you can setup syncing between Toodledo and many different calendar programs, including Apple's Calendar and Google Calendar.
Tasks are placed on the calendar using a combination of due date, due time, start date, start time and length. If some of this information is missing, then Toodledo will try to calculate it based on some assumptions.
Syncing Outlook to your iPhone or iPad requires a two step setup process. You'll need to setup both iOS and Outlook to sync with this website. Toodledo.com acts as the hub or middleman.
1) Syncing iOS to Toodledo.com. The device can be synced to the website over any internet connection while the app is open. Here are detailed instructions.
2) Syncing Outlook to Toodledo.com. This step requires a third-party tool. You can find a list of tools that can accomplish this in the Account menu at the top of the page. Here is a direct link. Keep in mind that these are third-party tools and we cannot support them. If you need assistance setting up this part of the process, please contact the developer of the tool that you are using.
Once both parts of the process are working, a task added/edited on Outlook will sync to the website and then to the iOS device the next time it syncs. Conversely, when you add/edit a task on the iPhone, it will sync to the website and then to Outlook on the next sync.
Some of these steps were written for older versions of iOS, so menu names may differ slightly on your device.
Toodledo's iOS App supports most of the fields that we have on our main website. Some of these fields are disabled by default, but it is easy to turn enable fields you want to use and disable fields you don't want to use.
Inside our app, tap on "Settings" and then tap on "Fields & Defaults". This page allows you to reorder your fields and move fields from the "unused" section to the "used" section or vice versa. Just tap and hold on the grippy part on the right side of a row and then drag the fields around to suit your needs.
This page also allows you to set default values for each field.
Toodledo's iOS App allows you to set default values for any fields that you want to use. This makes adding tasks go quicker if you frequently add tasks with similar information.
Inside our app, tap on "Settings" and then tap on "Fields & Defaults". This page allows you to set the default values. To set a default value, just tap on the field that you want to set. Then pick the value that you want pre-filled whenever you add a task. That's all you have to do.
This page also allows you to reorder and enable/disable the fields.
Although it is very rare, sometimes our iOS App gets out of sync with Toodledo.com. If this should happen to you, first make sure that your account information is entered correctly in the app's settings and then do a manual sync from within the "Synchronization Settings" page.
If this does not solve the problem, you may need to reset the sync status. To do this, first go into your "All Tasks" list and turn off the filters in the "Show" menu. Then go into the "Synchronization Settings" page and tap on "Modify Account Login". There are two buttons at the bottom of the page that you can use to force a full sync.
If neither of these options work, you'll need to reset the device. To do this, go use the "Purge Data" option in the app's settings section. Use this to delete all the tasks on your device. Now, your device is empty and you should be able to sync everything down from the website.
Sometimes an iOS app can develop strange problems that cause it to crash immediately upon launching, or start to run very slowly. This happens with all apps, and is not specific to Toodledo. In most cases, one of these steps solves it, in order:
If the problem continues, please create a support ticket. A screenshot of the problem is very helpful if you are reporting a display bug, and so is the iOS version and device model.
In our iOS app, it is possible to receive audible alarms when a task is due. Toodledo must be installed on your iPhone or iPad, but it does not need to be running for this to work. There are two different ways to receive reminders on your iOS device. You can have the alarms come from the device or come from the website using Apple's Remote Push Notification network.
Device based alarms. This is the recommended setting because it is the more reliable. This device will be responsible for setting and triggering alarms. You do not need to sync with Toodledo.com for this option to work, but if you are syncing, then the task must be on the device for its alarm to be triggered. To select this option, go into the "Alarms" settings section inside our app and choose "Task alarms come from device".
Remote alarms. The remote notifications will be sent from Toodledo.com directly to your iOS device at the appropriate time. Keep in mind that the task must be synced to our website for this to work. Also, your device must have a network connection at the time of the reminder. Toodledo will also update your application badge several times a day so you'll know how many tasks are remaining.
To get remote notifications follow these steps:
Setting alarms. Once you complete these steps, any task that has a due-date AND an alarm set will receive an alert. To set an alarm for a task:

Due to delays in various parts of the system, reminders may arrive plus or minus 5 minutes from the actual reminder time.
If you no longer want to receive remote notifications, you can adjust your settings in Apple's "Settings" app on the device under "Notifications".
On the website, each tab shows a number that indicates how many tasks are inside. Our iOS app has the same feature, in addition to the option to take one of these numbers and have it appear as a badge on the application's icon.
These numbers may sometimes not match. This is usually because your filters are different between the website and the iOS device. The website does not know about the filters you have set on the device, so the badge update sent from the website will be with no filters applied.
The application badge updates when you run the app. You can also use Apple's Push Notification network to have the badge updated periodically throughout the day.
Occasionally, the device and the website may get out of sync, which will cause the numbers to not match anymore. You can fix this by doing a resync.
If you would prefer for the website to not send badge updates to your device, you can go into Apple's Settings app and then go to the "Notifications" section. Find Toodledo and turn the "Badge" switch off.
It is possible to sync your tasks from Toodledo.com to your Calendar on your iPhone or iPad. If you use this in combination with our iOS app, you can have both tasks and events on your device in both Calendar and the Toodledo iOS app.
Enabling Calendar Syncing - The first step is to enable live Calendar syncing.
Setting up the iOS device
To sync our iOS app with the website please follow these steps.
Congratulations, your iOS device will now sync its information with the website. Any changes that you make in either place will be sent to the other.
There are a few settings on the "Synchronization" settings page which control syncing. With all of the options turned off, you will be in manual sync mode. It will only sync when you press the sync button on the homescreen.
In our iOS app, you can search for both tasks and note entries. The search bar is located above the top entry in any list. To reveal it, scroll to the top of your list and then keep scrolling by swiping your finger downwards.
Both tasks and note entries can be deleted via the swipe gestured when viewing a list. To do this, swipe your finger from left to right over a task or note entry that you want to delete. A "Delete" button will appear, which you can tap to delete the item from the list.
Additionally, you can delete a task from the task details page by tapping on the action button in the upper right corner and selecting the "Delete" option.
Our iOS app can filter and sort tasks on a variety of criteria.
Filters. Tap on the spot above your list where it says "Hidden Tasks..." This will open the filter settings and allow you to hide or reveal certain tasks. For example, you could choose to hide completed tasks.
Sorting. Tap on the spot above your list where it says "Sorted by..." This will open up the sort settings and allow you to sort by up to 3 different criteria at the same time. You can also sort in reverse order by toggling the direction of the arrow adjacent to each sort option.
Yes you can. First, tap "Settings" inside the app and select "Reminders Syncing". Then turn on the switch.
Now, everything that is added to Reminders will be automatically added to Toodledo as well. To use Siri, simply activate Siri and say "Remind me to ...." and it will be added to Reminders and Toodledo.
If the tasks are not importing, please go into Apple's Settings app and tap "Privacy" and then "Reminders". Make sure that the switch is turned on for Toodledo.
Our iOS app has some of our collaboration tools built in.
Reassignment. If you have permission to assign people tasks, you can take one of your tasks (or create a new one) and then reassign it to your collaborator. To do this, find the task and tap on it. Then tap on the action button in the top right corner. Select "Reassign" and then pick your collaborator's name from the list. The "Reassign" button will only appear if you have a collaborator who has given you permission to add tasks to their list.
Joint tasks. Any joint tasks that have been established on our website will be marked with a small sharing icon to indicate that they are joint tasks. Any action that you make on one of these tasks will be reflected on everyone's lists. To make new joint tasks, please use our website.
Our Android App supports all of the fields that this website supports. If some are missing it is because they are not enabled yet.
To enable them, press the Menu button inside the Toodledo Android app and select "Settings". Then tap "Fields / Functions Used". From here you can enable or disable any field that you want by tapping the checkboxes.
In our Android app, it is possible to receive audible alarms when a task is due. Toodledo must be installed on your Android device, but it does not need to be running for this to work. To enable alarms please follow these steps.
Once this one-time setup is done, you should be able to set alarms for individual tasks. To set an alarm follow these steps.
You should now get an audible alarm for any tasks on which you have set alarms.
Troubleshooting. If the alarms do not occur, go into the Android Settings section, open the notification settings for apps, select "Toodledo", and confirm that Toodledo's alarms are not blocked. Optionally, set Toodledo's alarms to be "Priority".
If our Android App has stopped syncing, here are some things to check.
If none of this works, you may need to delete the app and reinstall it from the Google Play store and then signin again. Note that deleting the app will also delete whatever data is inside the app, but it will not delete any of the data that has synced and is on our website.
To delete an outline, first click on it to view it. Then look in the upper right corner for the blue menu button. Click this select the "delete" option from the menu.
Remember, deletion is permanent. There is no undo, so if you think you might want the outline again, you should export it to your computer first. To export, click the icon to the left of the trash can with the downward facing arrow and follow the instructions.
First, your collaborator needs to give you permission to share Outlines with them. They can do this by following these steps:
