Sharing & collaboration

How can I privately share my tasks with someone else?

All users can privately share tasks with other members. The number of collaborators you can share tasks with is determined by your subscription level. Once invited, your collaborators will be able to edit your list, if you give them permission to do so.

To share your list with someone, go to the "Collaboration" link in the Account menu in the top right corner and enter the person's email address to send them an invitation. Once they accept the invitation, your list will be shared with them. They will need to do the same thing for you if you want to see their tasks.

What are the different permissions that I can set when sharing tasks?

There are three different permissions that you can give someone when privately sharing tasks with them.

  • Can view my tasks - This person will only be able to read your tasks and notes. They will not be able to assign tasks or edit tasks.
  • Can assign me tasks - This person will be able to read your tasks and assign you new tasks, but they will not be able to edit your tasks.
  • Can edit my tasks - This person can do everything that you can do, which includes reading, adding, completing and editing tasks and notes.
Can I share only a few folders?

Yes. If you go into your folder manager, you can mark any of your folders as "private". Private folders are hidden from anyone that you are sharing with.

Why do some fields get removed when reassigning a task?

When you reassign a task to someone else, it is moved from your list to their list. Because that person does not have the same folders, contexts, goals and locations as you, those fields will be blank after the reassignment. If you need to set these fields, you can edit the task after reassigning it to set them to values that the other person has in their account.

What do the diamonds next my folder names mean?

A ♦ diamond will appear after a folder, context or goal that you have marked as private. Private folders, contexts and goals are used when you are collaborating with other people to hide tasks that you don't want them to see. You can make a folder, context or goal private from the Organize section of this website. If you do not use our collaboration tools, it is not necessary to mark anything as private, since all tasks are private when collaboration is not used.

Folders, contexts and goals have four different states.

  • Super Private You have clicked the "private" checkbox on the organization page. Tasks with this folder, context or goal will never be shared with anyone under any circumstance. These items will be marked with a ♦.
  • Normal This is the default setting. All folders, contexts and goals start this way. It is private unless you choose to share it with someone.
  • Shared You have chosen to share the folder with a particular person. Only they can see it. You can set this up by selecting "Collaboration" from the Tools menu.
  • Public You have published your list to the public for anyone in the world to see. You can enable this by selecting "Collaboration" from the Tools menu and then selecting "Publishing" from the left sidebar.
How can I get notified when a collaborator does something?

If you share a task, you can get notified when your collaborator makes a change to that task. To do this, select "Collaboration" from the Account Menu in the top right corner. Then, select "My Tasks" or "Shared Tasks". All of the collaboration activity is recorded on these pages.

If you want to get email alerts when changes are made, check the box on the right side of the page. Update emails are sent every few hours when there are changes to report.

Backup, export & import

How can I backup my data to my computer?

Toodledo gives you many different options for exporting or backing up your data. Click on the Account Menu at the top of the screen and select "Import / Export".

If you want to backup your data with the intention of restoring it back into Toodledo at a later time, the best option is the "Backup/Restore" tool which was designed specifically for this purpose.

Can I import my data from somewhere else?

Yes! If your current application can export a file, we can probably import it. There are 3 file formats to choose from (iCal, XML and Text). You may need to experiment a little to find the one that works best for you.

Can I sync my tasks with my calendar?

Yes, you can import and sync with many external calendar applications. To access these settings click on the Account Menu and select "More". Then go to the "Calendars" section.

If you are trying to do a one-time export of your data to a calendar application, such as Google Calendar or Apple's iCal, select the "Download ICS file" option.

If you want to use Toodledo in conjunction with a calendar application, you can use the "Live iCal Link". The "Live iCal Link" is a one-way link that will send tasks from Toodledo to your calendar.

Can I access my Toodledo account via email?

Yes, you can. All users can retrieve tasks from their to-do list via email and save emails via our bookmarklet.

If you're a Plus Subscriber or higher, you can add a task to your list by forwarding an email directly to Toodledo.

How do I get accented or other international characters to import?

Accented characters like é and ñ and international characters like 字 and ß are fully supported by Toodledo, but you may have some difficulty if you are trying to import this type of data.

In order to properly import your data, the file must be encoded in a way that Toodledo understands. The most common encoding is called "UTF-8" and is the accepted way to encode files that contain international characters. Another popular encoding is called "ISO-8859-1" or "latin 1". Toodledo will understand these and most other file encodings.

If you are having trouble importing a file that contains international characters, it may be encoded in a way that Toodledo doesn't understand. Try changing the encoding to "UTF-8" and importing again. Most text editors provide this option.

I get an error when importing my file.

There are two common reasons why you might be having trouble importing a file into Toodledo.

Wrong filetype. Toodledo has a variety of different ways to import information (CSV, XML, iCal, etc). For each method it is important that the file that you are starting with is in the proper format.

  • CSV - This stands for "Comma Separated Values". Each record will be on one line with the different fields separated by commas.
  • XML - This is a very specific file format that is produced by some applications, and it is different for each application. Toodledo only recognizes a few types of XML documents, which are listed on the XML Import page. If the XML file you are trying to upload is not one of the types that we understand, it won't work.
  • Text - This is similar to a CSV file, except fields are separated by a tab instead of a comma.
  • iCal - This is a standard file produced by many different calendar applications.

File too large. If you are trying to import a large file, Toodledo may be unable to import everything. Although we list recommended maximum filesize limits, the real limit is the number of tasks inside the file. Depending on current server conditions, 1000 tasks is roughly the maximum amount that Toodledo can import from a single file before running out of memory. If only some of your files are uploading, this is what is happening. The "your file was empty" error message is also a symptom of this problem.

The solution is to reduce the number of tasks inside the file. There are two ways to do this.

  • Split the file manually - In most cases you can open the file in a text editor and cut and paste the data into several smaller files. You can then import these files individually. When doing this, be careful to cut and paste entire records without splitting one record across two files. With CSV and Text files, this means keeping entire lines intact, but with XML and iCal files, it is more complicated.
  • Export fewer tasks - Try going back to the application that produced the file that you are trying to import and see if there is a way to reduce the number of records being exported. In most cases, if you can eliminate completed tasks from your export file, the number of active tasks will be small enough to import easily.

Technical & security

What web browsers are supported?

Most modern web browsers that support JavaScript and Cookies will work with Toodledo.com, including current versions of Chrome, Safari, Firefox and Edge on Mac and Windows. Other operating systems will probably work, but we do not test with them.

Toodledo is not tested with beta versions of web browsers. We recommend using the stable, officially released version of your browser of choice.

Can I use encryption to secure my data?

When you sign in to Toodledo, your login name and password are always encrypted during transmittal to our website. Additionally, Toodledo enforces SSL connections at all time, so your data will always be encrypted as it is being transmitted from our website to your web browser or app.

Can I use Toodledo on my Apple iOS device?

Yes, you can. The regular website will work just fine, but we also have a mobile phone optimized version of Toodledo that will minimize the amount of zooming and panning that is necessary with the full website.

Just point your iOS device (iPhone, iPad, iPod touch) to http://m.toodledo.com.

We also have a native app for iOS that will sync with Toodledo and allow you to access your tasks and notes when you are offline.

I'm getting a certificate error when using files.

If you are using SSL encryption to ensure that your data is protected during transit, you may get an error when uploading files over this connection.

The error may say that the certificate is only valid for a different name, or that the names don't match. The certificate will be for *.s3.amazonaws.com. This is because Toodledo uses Amazon's world class servers to store your files safely and securely. Your web browser is just warning you that you are making a connection from Toodledo to Amazon.

You should allow the certificate to be used if you want to upload files over an encrypted connection.

How secure is my data on Toodledo?

We take standard precautions to ensure that our customer's data is protected from loss and unintended viewing.

Firewall. Toodledo has a strong firewall and fully patched servers that are monitored 24/7 to help prevent hackers from gaining access to your data. While we cannot guarantee that our servers are unhackable, we believe that they are as secure as most other websites that you may use.

We advise people to avoid storing sensitive information (credit card numbers, confidential company secrets, etc) inside Toodledo because we cannot provide that level of security.

If you are very concerned about other people gaining access to your data, you should make sure that you have all forms of sharing turned off. You should also remember to sign out of your account when you are leaving your computer.

Encryption. To protect your data in-transit as it travels from our server to your web browser, Toodledo uses SSL encryption for all connections. Our iOS and Android apps always use SSL encryption to communicate with the server. Some of our customer's data is encrypted at rest in our database, and we are working towards having it all encrypted at rest eventually.

Backups. Toodledo uses a redundant storage system to protect our customer's data from software and hardware failure. We also have a nightly off-site backup to protect against a natural disaster or some other big problem. We also offer a variety of ways for you to export your tasks and back them up on your computer.

Using the tab key to move to the next field sometimes skips fields.

On Mac OS X, the default behavior for the "tab" key is to move the cursor to the next text field. This will often skip over other fields that you may want to edit (folder, priority, etc).

To change this behavior, so that fields can be reached using the "tab" key, you need to change a system setting: open the Mac System Settings, go to Keyboard, and turn on "Keyboard navigation" (formerly "Full keyboard access: All controls").

Nothing on Toodledo works and the web page looks scrambled.

What is happening is that your web browser is not downloading the images, style information and scripts that are necessary for Toodledo to work correctly. It may also not be setting cookies correctly.

This can sometimes happen for a variety of reasons.

  • If your web browser's cache gets corrupted.
  • If a web browser plugin or extension is misbehaving.
  • Overly strict browser security settings.
  • An overzealous virus checker.
  • A computer virus.
  • A misconfigured firewall or proxy.

To fix the problem, first try accessing our website using a different web browser. If it works, then the problem was #1 or #2 or maybe #3.

If it is still broken, try using a different computer on the same network. If it works, then the problem was with #4 or #5.

Toodledo requires browser cookies in order to function properly. Please make sure that your web browser is set to accept all cookies set from Toodledo.com. Please make sure that any browser plugins that may block cookies are disabled when on Toodledo.

If it is still broken, then the problem is likely with your firewall or proxy. Some firewalls or proxies may incorrectly block content from our Content Delivery Network (CDN). To speed up page loading, most of our images and scripts are served by a CDN. A CDN is a third party provider that has thousands of servers all over the globe, so they can send these static images and scripts to your computer really fast. Our images and scripts may be served from "images.toodledo.com" or "cloudfront.net". This is common practice among websites, but your firewall or proxy may be misconfigured to block this. You may need to configure your firewall to allow connections to "images.toodledo.com", "static.toodledo.com" and "cloudfront.net". You may need to contact your IT department to assist you.

How do I report errors to Toodledo?

We greatly appreciate when errors are reported to us. You can do this via a Support Ticket.

When creating a support ticket, please provide as much information as possible. If you are reporting an error with our web page, please include any error messages that your browser is generating. To find them, open your browser's developer tools (usually F12, or Option+Command+J on a Mac) and look at the "Console" tab.

None of the images are loading, or the website looks scrambled.

This can happen if your firewall or corporate network is setup to block parts of our content. In order for all parts of Toodledo to work, the following domain names must be accessible. These may need to be added to your network's "white list".

How do I adjust the font size when printing?

There are two ways to adjust the font size when printing.

  • Use your web browser's built in font menu to increase the font size of the text on the screen and then print the page.
  • Select print to bring up the print dialog window, but before printing it, use your printer's built in zoom or scale tool to increase the size before printing.

Billing & subscriptions

How much is an upgrade to a Standard, Plus or Business Subscription?

The cost for purchasing a subscription is listed on our pricing page.

If you are upgrading from a lower level to a higher level subscription, you will only need to pay the pro-rated amount that is the difference in price based on the time left you have on your subscription.

Once you purchase a subscription, your subscription will automatically renew at the end of every billing cycle. If you cancel your subscription, your account will revert back to a free account and you will no longer have access to the subscriber tools.

I paid, where is my upgrade?

Payments usually take a few minutes to be processed, but they may sometimes take up to 24 hours. If you have paid via an eCheck through PayPal, the funds must clear your bank before PayPal notifies us of the purchase. This takes about as long as a regular check (4-7 days).

What's the difference between PayPal and Pay with Credit Card?

You can safely and securely purchase a subscription with your credit card directly on our website. Your credit card information is never stored on our servers and is encrypted during the purchase. "Pay with Credit Card" is the quickest way to upgrade your account.

If you prefer you can use PayPal. PayPal allows you to pay via a credit card, bank transfer (eCheck), or PayPal balance. If you do not yet have a PayPal account, you may choose to create one, but you are not required to create one. If you’d like to pay with PayPal, please contact us at info@toodledo.com.

Can I get a refund?

If you are not happy with your Subscription, you may request a refund within 14 days of the date of purchase. Please use the Contact Us link to make your request via a support ticket.

What happens when I cancel my Subscription?

When your Subscription expires, your account will revert back to a free account and you will no longer have access to any subscriber functionality. None of the active information that is attached to your account will be deleted. In most cases, it will simply be hidden until you renew your subscription.

With a subscription, you have the option of saving old completed tasks for longer than the 1 week given to Free accounts. If you cancel your account then any tasks that were completed over 1 week will be saved for a short while to give you time to renew your subscription, but eventually the files will be deleted.

If you have subtasks, and your subscription expires, all of your subtasks will be flattened out onto the same level as your tasks. They will no longer be nested inside of their parent tasks. When you renew your subscription, your subtasks will regain their previous hierarchy.

If you are privately sharing your tasks with other people, they will no longer be able to add tasks to your account.

If you have an Outline or List that has more items than are allowed for a free account, you will not be able to add more items until you delete others to make room.

When you renew your subscription, everything will return to the way it was before it expired.

If you have a subscription and have uploaded files to Toodledo, these files will no longer be available when your subscription expires. Toodledo will save these files for a short while to give you time to renew your subscription, but eventually the files will be deleted.

I paid, but I need a receipt or invoice.

You should have received an invoice at the time of purchase via email. Please check your spam folders if you think that this email was misplaced. If you paid via PayPal, you can sign into your PayPal account and view your receipt at any time.

If you need an invoice from Toodledo, please return to the subscription purchase page and then click on the date for your order at the bottom of the page.

How can I pay directly with a credit card?

Yes, you can pay directly with a credit card. After selecting which subscription you want to purchase, simply enter your information. To protect you, Toodledo never stores credit card information and we encrypt your information during the transaction with our payments partner.

You can also pay with a credit card via PayPal. If you prefer you can use PayPal. PayPal allows you to pay via a credit card, bank transfer (eCheck), or PayPal balance. If you do not yet have a PayPal account, you may choose to create one, but you are not required to create one. If you’d like to pay with PayPal, please contact us at info@toodledo.com.

Can I downgrade between subscription levels?

Yes, if you have a Plus or higher subscription, and you do not use the features of that level, you can easily downgrade to a lower subscription tier.

When you downgrade, the amount of time left on your existing subscription will be applied to extend the expiration date of your new subscription. For example, if you have 6 months left on your Plus subscription, your Standard subscription will be extended by 6 months when you downgrade.

When you downgrade, you will lose all functionality reserved for the higher subscription tier, subject to a short grace period (in case you change your mind).

To downgrade, click on the link in the top right corner of the page to go to the purchase page. Then click then "Manage Subscription" button.

How do I update my payment information?

Toodledo does not store credit card information and never sees your full credit card number.

Toodledo uses a company called Stripe to help us process payments. Stripe is used on many websites across the internet.

If you want to change the credit card or add a new one, you will need to contact Stripe and ask them to update your information. You can contact them here: https://support.stripe.com/email

Can I cancel my subscription?

Yes, you can cancel your plan by going to account settings → my subscription → cancel subscription.

We have an auto-renewal program. You must cancel your subscription at least 24 hours prior to your renewal period, else you will be charged. If you choose to cancel your subscription, you will be able to continue using the features of your plan until the end of your subscription period.

My credit card number was remembered, how can I change it?

Toodledo uses a company called Stripe to help us process payments. Stripe is used on many websites across the internet.

Stripe has a "Remember Me" option that allows you to have your credit card information saved by Stripe which will then automatically fill it in on any website that uses Stripe as their payment provider. Toodledo does not provide the "Remember Me" option, so if your credit card number was remembered it is because you selected this option on another website that uses Stripe.

If you do not want Stripe to remember your credit card number, or if you want to change the credit card, you will need to contact Stripe and ask them to clear your information. You can contact them here: https://support.stripe.com/email

Please note that Toodledo does not store credit card information and never sees your full credit card number.

I have one of the older Subscription tiers (Silver / Gold / Platinum). What happens to my subscription?

Your subscription remains exactly as is through your current subscription period.

At the end of your subscription period, you’ll have the option of choosing one of our new subscription tiers. If you’re on an auto-renew subscription, you’ll be mapped to a new subscription per below:

  • Silver → Standard
  • Gold → Plus
  • Platinum → Plus
